Board of Directors Job Descriptions

Board Positions: Each of the Board Positions requires the candidate to work for a three-year term. To be eligible, the candidate must have worked Bingo four times by November 1; during the current calendar year. To run for President, Vice-President or Treasurer, the candidate must have at least one year experience the board. All candidates must be approved by the current Board of Directors who have the option to waive the requirements if in the best interest of the organization. The positions are:

 

  1. President: The President shall be the principal executive officer of the Corporation and shall in general supervise and control all of the business and affairs of the Corporation. He/she shall preside at all meetings of the Board of Directors and meetings of the member. He/she may sign, with the Secretary or any other proper officer of the Corporation authorized by the Board of Directors, any deeds, mortgages, bonds, contracts, or other instruments which the Board of Directors have authorized to be executed, except in cases where the signing and execution thereof shall be expressly delegated by the Board of Directors or by the By-Laws or by statute to some other officer or agent of the Corporation; and in general he/she shall perform all duties incident to the officer of President and such other duties as may be prescribed by the Board of Directors from time to time.
  2. Vice-President: In the absence of the President or in the event of his inability or refusal to act, the Vice-President shall perform the duties of the President, and when so acting shall have all of the powers of and be subject to all the restrictions upon the President and shall perform such other duties as from time to time may be assigned to him/her by the President or by the Board of Directors. If both the President and Vice-President shall be absent from any meeting, the Secretary shall call the meeting to order and a temporary chairman shall be elected to preside over said meeting.
  3. Secretary/Scholastics: The Secretary shall keep the minutes of the meetings of the members and of the Board of Directors in one or more books provided for that purpose; see that all notices are duly given in accordance with the provisions of these By-Laws as required by law; be custodian of the corporate records and of the seal of the Corporation and see that the seal of the Corporation is affixed to all documents, the execution of which on behalf of the Corporation under its seal is duly authorized in accordance with the provisions of these By-Laws; keep a register of the post office address of each member, which shall be furnished to the Secretary by such member; and in general perform all duties incident to the office of Secretary, and such other duties as from time to time may be assigned to him/her by the President or by the Board of Directors. Responsible for distribution and collection of all scholastics forms. Acts as OGYF representative on the Peninsula Scholastic Committee.
  4. Business Manager - Responsible for collection and inventory of all sign-up and participation fees for all cheerleaders and football players. Responsible for ordering and issuing plaques to all coaches, players, and cheerleaders as well as replacing plaques with mistakes or errors. Must interact with all board members and be readily accessible year round.
  5. Bingo Director: Responsible for the set up and operation of Bingo two nights a week.
  6. Building Director: Responsible for overseeing and upkeep of OG Hall.
  7. Parent/Volunteer Coordinator: Responsible for contacting head coaches and obtaining lists of personnel who will be working Bingo each Friday. Also responsible for coordinating league fundraisers, dances during the season, any need for volunteers and the banquets.
  8. Publicity Director: Responsible for packaging up 10,000 sign up flyers into groups of 40 and distributing them to each grammar and Jr. High School in the Oak Grove, Santa Teresa, and Hill High School areas. Also responsible for typing and distributing the newsletter.
  9. Yearbook Director: Responsible for coordinating activities for the yearbook including pictures, layout and distribution at the banquets.
  10. Football Athletic Director - (Voted into office by the head football coaches) - responsible for interviewing and recommending football coaches to the Board of Directors for selection, sign-ups at OG and Hill in March, ensuring coaches adhere to Bingo requirements, OGYF and Pop Warner Rules, and acting as a liaison between coaches and the board as well as parents and the coaches.
  11. Cheerleader Athletic Director - (Everything the same as above except substitute cheerleader coaches in place of football coaches).
  12. Football Equipment Director/ Business Manager - Responsible for ordering, inventory, issuing, collecting, repairing and storing all football equipment. Must be available and accessible in late July and August for equipment exchanges and issue to late sign-ups at Oak Grove.
  13. Girls Equipment Director - (Everything the same as above except substitute cheerleader coaches in place of football coaches). Conduct an inventory of Girls Equipment and Cheerleader Uniforms. Size all cheerleaders prior to the start of the season. Order, issue and collect uniforms at the appropriate time of the year. Handle all problems associated with Girls Equipment and Cheerleader Uniforms. Responsible for collection and inventory of all sign-up and participation fees for all cheerleaders. Must interact with all board members and be readily accessible for any league business year round.
  14. Field Director - Responsibilities include organizing (as needed) work parties in March and April to ensure fields are ready for use in August. Installation and repair of practice field lights. Ensuring fields are kept free of trash, setting up Security for games at Santa Teresa and Oak Grove, working with the schools to ensure we have ESUHSD janitors at the games. Be at the field to ensure proper equipment is set up for the games (mike and speakers, goals post pads, etc. . .) and referees, paramedics and security guards are paid. Ensure schools have been given certificates of insurance and act as a liaison between the high schools and Oak Grove Youth Football.
